Gifts and promotional products: selling to European buyers
Promotional products and gifts in Europe are sold through agencies, distributors and gift wholesalers who need fast samples, reliable printing and documents for every material. We find these buyers for your range and prepare your offer, labels and paperwork for the European market.
How European buyers buy gifts and promotional products
The European promotional products market works through layers. Brands and companies rarely buy from factories directly. They order from promotional agencies and advertising specialists, who buy from large promotional distributors and import wholesalers. These wholesalers publish catalogues with thousands of blank items, print or engrave them in Europe or order printed goods directly from the factory.
The year has two peaks. Corporate Christmas gifts are chosen from late summer to October, and orders must arrive in Europe by November. Spring and summer bring trade fairs, sports events, festivals and company anniversaries. Distributors build their new catalogues once a year and choose new items at trade fairs such as PSI in Düsseldorf in January and at national fairs. A factory that wants to be in next year’s catalogue must send samples and prices months before.
Gift and souvenir retail is a separate channel. Gift shops, souvenir shops in tourist cities, garden centres and online sellers want ready-to-sell products with retail packaging, barcodes and local language labels. Hotel and corporate buyers want custom designs in moderate quantities.
Buyers in this category compare suppliers on speed and reliability: samples within days, logo proofs the same day, colours that match the Pantone reference and delivery on the event date. They also ask more often about materials and sustainability: recycled plastics, FSC paper, cotton origin, PVC-free and safe inks. A supplier who has test reports for mugs, bottles and bags ready wins the order; a supplier who answers in a week loses it.
Our group runs B2B brands for souvenirs, mascots and hotel amenities in Europe and sells Christmas gifts in Central Europe. We know how agencies brief, how they compare prices and which documents they ask for.

EU rules for gifts and promotional products
Promotional items are consumer products. The rule that applies depends on the product: a mug, a power bank and a plush keyring each fall under different rules.
| Rule | What it means for you | What we do |
|---|---|---|
| GPSR (EU) 2023/988 | Every consumer product needs an economic operator in the EU named on the product, packaging or document, plus safety information and traceability. | Our EU company can act as the responsible economic operator under our EU Compliance package. |
| Food-contact materials, Reg. (EC) 1935/2004 | Mugs, bottles, lunch boxes and straws must be safe for food contact; plastics need a declaration of compliance under Reg. (EU) 10/2011. BPA is banned in food-contact materials (Reg. (EU) 2024/3190). | We check migration test reports and declarations before we offer these items. |
| REACH | Restricted substances in plastics, inks, coatings and textiles; PFHxA restrictions apply to some consumer products from 10 October 2026. | We ask for chemical tests and flag materials that buyers question. |
| Toy Safety Directive 2009/48/EC | Plush keyrings, stress balls and other items that children may play with are often treated as toys and need EN 71 and CE. | We tell you which items need toy testing. |
| Electronics: LVD, EMC, RED, RoHS, WEEE, batteries | Power banks, speakers, chargers and gadgets need CE, WEEE registration and battery rules. | We check the CE file, markings and EPR needs. |
| Packaging and EPR | Packaging EPR in each country and the PPWR from 12 August 2026. | We arrange registrations through verified partners. |
This table explains the requirements. Final conformity assessment is the responsibility of the manufacturer and, where required, accredited bodies.

Frequently asked questions
What certificates do promotional products need in Europe?
It depends on the product. Food-contact items need migration tests and a declaration under EU food-contact rules, electronics need CE, and items children may play with often need EN 71. All consumer products need an EU economic operator under the GPSR.
How do we find promotional products distributors in Europe?
We search and qualify them for you: promotional distributors, agencies, gift wholesalers and corporate buyers in Poland, Germany and nearby countries. We check what they sell and how they buy, then introduce the suitable ones. You see every contact in the CRM report.
When do European buyers choose Christmas corporate gifts?
Mostly from late summer to October, with delivery in Europe by November. Distributors choose items for their annual catalogue earlier, often at trade fairs in January. We plan samples for both windows.
Do agencies accept printed goods from China?
Yes, if the print quality is stable and deadlines are kept. Many distributors order blank items and print in Europe for short runs, and order printed goods from the factory for larger runs. We help you offer both.
Do buyers ask about sustainability?
Yes, more and more often. Corporate buyers ask about recycled materials, FSC paper, certified cotton and plastic-free packaging. Claims must be backed by certificates; unsupported green claims are a risk for the buyer.
Can you handle small urgent orders?
Partly. For items you keep in stock in our Polish warehouse, agencies can receive small lots in days. Custom printed orders still follow your production time, so we agree deadlines in writing.
